Restoring Hearts Supporting Hands ("Restoring Wichita," "we," "our") is an Oklahoma-based 501(c)(3) nonprofit organization providing faith-centered, peer-led whole-person recovery support to adults across southwest Oklahoma.

This Privacy Policy applies to information collected through our website (restoringwichita.org), our online donation platform, our contact forms, and any direct communications with our organization.

2. Information we collect

We collect information in the following ways:

Information you provide directly:

• Name, email address, and organization when you submit a contact form or volunteer inquiry
• Name, email, and billing address when you make a donation
• Any additional information you include in messages sent to us
• Email address when you sign up for our quarterly impact updates

Information collected automatically:

• Basic website analytics such as pages visited, time on site, and referral source (see Section 6)
• IP address and browser type, collected automatically by our hosting provider

We do not collect sensitive personal information such as Social Security numbers, government ID numbers, military service records, or health information through our website.

3. How we use your information

We use the information we collect for the following purposes:

• To respond to contact form submissions, partnership inquiries, and volunteer interest
• To process and acknowledge donations and issue tax receipts
• To send quarterly impact updates to those who have opted in
• To fulfill grant reporting obligations to funders (using aggregated, non-identifying program data only)
• To improve our website and understand how visitors use it
• To communicate with recovery partners, volunteers, housing and mental health MOU partners, and community collaborators

We do not sell, rent, trade, or share your personal information with third parties for marketing purposes. Ever.

We do not send unsolicited communications. If you receive a message from Restoring Wichita you did not request, please contact us immediately at info@restoringwichita.org.

4. Donations and financial information

Online donations to Restoring Wichita are processed through DonorBox, a third-party donation platform. When you make a gift through DonorBox, your payment information (credit card number, billing address) is collected and processed directly by DonorBox — Restoring Wichita does not receive or store your full payment card details.

Restoring Wichita receives the following information for each online donation:

• Donor name and email address
• Gift amount and date
• Designation (if restricted)
• Billing address (for tax receipt purposes)

We retain donation records as required by IRS regulations for nonprofit organizations and Oklahoma law. Tax receipts are issued promptly following each gift.

For gifts made by check, stock transfer, or donor-advised fund, information is handled directly between the donor and Restoring Wichita and is used solely for gift processing and acknowledgment.

5. Third-party services

RHSH uses the following third-party services that may collect or process data on our behalf:

Each of these providers has its own privacy policy governing how they handle data. We select providers whose data practices align with our values and our obligation to protect donor and visitor information.

We do not use Facebook Pixel, advertising trackers, or any technology that shares your data with advertisers.

6. Cookies and website analytics

Our website may use cookies — small text files stored in your browser — to support basic site functionality and analytics. We do not use cookies to track you across other websites or to serve you advertising.

If we use Google Analytics or similar tools, data collected is anonymized and aggregated. We use it only to understand how visitors navigate our site so we can improve the experience. We do not link analytics data to individual identities.

You can disable cookies in your browser settings at any time. Doing so will not affect your ability to use our website or make a donation.

7. Children and minors

Our website is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13 through our website.

Restoring Wichita's programs serve adults (18+). We do not knowingly collect personal information from minors through our website or programs.

Client information used in public-facing materials (such as testimonials or impact reports) is anonymized or shared only with explicit written consent from the individual. Recovery status and personal history are treated with the highest level of confidentiality.

8. Data retention

We retain personal information only as long as necessary for the purposes described in this policy or as required by law.

• Donation records: Retained for a minimum of 7 years per IRS and Oklahoma nonprofit requirements
• Contact form submissions: Retained for up to 2 years or until the inquiry is resolved
• Email list subscribers: Retained until you unsubscribe
• Program participant records: Retained for the duration of active programming plus 3 years for grant reporting
• Client program records: De-identified after program close; no personally identifying information retained beyond program engagement unless the client has opted into ongoing communication. Recovery status is never retained in identifiable form.

When data is no longer needed, it is deleted or anonymized.

9. Your rights

You have the right to:

• Access the personal information Restoring Wichita holds about you
• Correct inaccurate information we have on file
• Request deletion of your personal information, subject to legal retention requirements
• Opt out of our email update list at any time by replying "unsubscribe" to any email or contacting us directly
• Ask questions about how your data is used

10. Security

We take reasonable steps to protect personal information from unauthorized access, use, or disclosure. Our website is served over HTTPS. Donation processing is handled by DonorBox, which uses industry-standard encryption and security practices.

No method of transmission over the internet is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. If you believe your information has been compromised, please contact us immediately at info@restoringwichita.org.

11. Changes to this policy

We may update this Privacy Policy from time to time as our practices evolve or as required by law. When we make material changes, we will update the "Last updated" date at the top of this page.
